Privacy Policy
At Expert Cover Design, your privacy and trust are our top priority. This Privacy Policy explains how we collect, use, and protect your information when you engage our design services. Because our work involves custom creative services, this policy also clarifies how we handle disputes, technical issues, stock image licensing, and rush order requests.
1. Information We Collect
We collect information necessary to provide and improve our services, including:
- Personal Information: Name, email, phone, billing address, and payment details.
- Project Information: Book title, author name, genre, manuscript details, design preferences, and materials provided.
- Technical Information: IP address, browser type, device information, and cookies for analytics and security purposes.
- Affiliate Information: Tracking data, payout information, and referral metrics.
- Communications: Emails, chats, and client feedback.
2. How We Use Your Information
We use the data collected to:
- Deliver design services (cover design, formatting, branding, etc.).
- Communicate about revisions, deadlines, or technical requirements.
- Process payments, invoices, and refunds.
- Provide add-ons such as rush orders, mockups, or marketing graphics.
- Resolve disputes or claims relating to services.
- Improve website performance, client experience, and portfolio examples (with consent).
3. Disputes and Client Communication
All disputes must be raised in writing via our Contact Us Page.
We may collect and retain communications during dispute resolution to ensure fairness and compliance with our Terms & Conditions.
If a dispute arises regarding creative work, revision limits, or dissatisfaction, this data may be used for clarification and legal purposes.
4. Technical Issues
We take all reasonable steps to deliver high-quality digital files.
In the event of technical issues (e.g., corrupted files, failed uploads, or delivery errors), we may collect error logs or system data to resolve the problem.
Technical issues do not automatically entitle the client to refunds unless delivery cannot be completed after reasonable corrective attempts have been made.
5. Stock Image Licensing Costs
Some cover designs utilize stock images, illustrations, or fonts licensed under third-party agreements.
Costs for premium or extended licenses are the client’s responsibility unless otherwise agreed.
We retain records of image licenses purchased for transparency and accountability.
Unauthorized resale or redistribution of licensed materials by the client is strictly prohibited.
6. Rush Orders
Rush delivery options (e.g., 24–48 hour turnaround) require an additional payment and may involve faster internal processing.
Information such as timestamps, proof of rush payment, and workflow priority will be stored to ensure accountability and transparency.
Rush fees are non-refundable once work has begun, unless we fail to deliver within the promised timeframe.
7. Data Retention
Project files, communications, and invoices may be retained for up to five years for record-keeping, licensing, and dispute resolution purposes.
Clients may request the deletion of their files, but legal, financial, or dispute-related data may be retained as necessary.
8. Sharing of Information
We do not sell or rent client data. Limited sharing may occur with:
- Service Providers: Payment processors, hosting services, design platforms.
- Legal Authorities: When required by law, court order, or dispute.
- Stock Providers: If proof of licensing is required for stock imagery.
9. Security of Information
All files are stored securely on encrypted systems.
Payment data is processed through trusted third-party processors (e.g., PayPal, Stripe).
No system is 100% secure, but we employ best practices to minimize risks.
10. Client Rights
Depending on your jurisdiction (e.g., GDPR, CCPA), you may have rights to:
Access your data.
Request corrections or deletion.
Object to data use for specific purposes.
Request data portability.
Requests can be made via the Contact Us page.
